Supplemental Instructions Log                                                                            

This page lists the supplemental instructions for the current project. Select the subject of a submittal to view its details. External and internal (Project Center) users see the same information unless otherwise noted.

To only see supplemental instruction actions assigned to you, select the My Supplemental Instruction Actions log. To only see supplemental instructions which you are expecting or are expected from you, select the My Expected Supplemental Instructions log.

Supplemental Instructions categories

Use the Supplemental Instructions drop-down list to filter the list of supplemental instructions by category. The categories are as follows:

All

Displays all the supplemental instructions for this project.

Pending Incoming

Displays all supplemental instructions sent via Info Exchange that need to be received. When a supplemental instruction or supplemental instruction response is logged by a project team member on Info Exchange, it will show up in this category.

Draft

Displays all supplemental instructions that have logged as a draft and have not been sent.

Under Review

Displays supplemental instructions that have been received, but responses have not been sent to the supplemental instruction senders.

When a non-expected supplemental instruction is first filed, it is placed in the Under Review category.

Awaiting Action

Displays supplemental instructions that have been received, but they:  

        Have not been forwarded for review, or

        Have been forwarded for review, but a response has not been sent to the sender, or

        Have been forwarded for review and all responses have been received, but there has been no response sent to the supplemental instruction sender.

Forwarded for Review

Displays supplemental instructions that have been forwarded with a due date for another contact to review that have not been received back yet.

Response Overdue

Displays supplemental instructions that have been forwarded but the responses back from the reviewers are overdue.

Overdue

Displays supplemental instructions that have not had a response sent to the supplemental instruction sender by the due date (the due date was filled in when the supplemental instruction was entered).

Expected

Displays all supplemental instructions filed as expected.

Expected Resubmission

Displays expected supplemental instructions that were created for supplemental instructions that require the sender to resubmit the supplemental instruction (the action taken on the supplemental instruction was Rejected or Revise and Resubmit).

Late

Displays expected supplemental instructions that are late.

All Closed

Displays supplemental instructions that have had a response sent to the supplemental instruction sender and have been closed.

No Action Taken

Displays the supplemental instructions that had a response sent to the supplemental instruction sender, and the action selected was No Action Taken.

Approved

Displays the supplemental instructions that had a response sent to the supplemental instruction sender, and the action selected was Approved or Approved as Noted.

Rejected

Displays the supplemental instructions that had a response sent to the supplemental instruction sender, and the action selected was Rejected or Revise and Resubmit

 

Columns

Overdue

The icon displays to the left of supplemental instructios that are overdue. The    icon displays to the left of supplemental instructions that are due in 8 days or less.

ID

The ID number of the supplemental instruction.

Sender ID

The number the contractor gave to the supplemental instruction.

Subject

The subject of the supplemental instruction. Select to open the Supplemental Instruction page to view its details.

Status

The current status of the supplemental instruction.

Total Days

The number of days to process the supplemental instruction. The count starts from the start date, which is either when the item was created or the received date, and ends either with the current date or when it was closed if a closed date was entered. If it is re-opened, it displays the count from when the supplemental instruction was created. The total days count is based on calendar days (not business days) and does not consider holidays in its calculations.

Received

The date the recipient received the supplemental instruction. The field also displays the supplemental instruction purpose and who sent the supplemental instruction.

Forwarded

The date the supplemental instruction was forwarded. The field also displays the purpose for which the supplemental instruction was forwarded.

Response

If a supplemental instruction has been forwarded to you, select Respond to open the Send Supplemental Instruction Response page. If a response has already been logged, then the date of the supplemental instruction response, the action taken for the supplemental instruction and the name of the user who sent the response are displayed.

Closed

The date the supplemental instruction was closed. The field also displays the action taken for the supplemental instruction and the name of the user who closed the supplemental instruction.

Supporting Documents

Displays the number of supporting documents associated with the item. Internal users can access all supporting documents. External users can only access supporting documents that have been shared with external users.

There are two possible icons that may appear in the field:

Select to view the list of files attached as supporting documents. Select the link for a file to view it in the Newforma Web Viewer. If the filename is not a hyperlink, select the icon to open or save the file locally.

Upload Supporting Documents

Use this area to add supporting documents to the item.

This option is only available for internal (Project Center) users.

Add Files

Select to open the Choose File to Upload dialog box and select a file.

You can select multiple files using standard Windows Shift and Ctrl selection techniques.

Remove All Files

Select to remove all files selected for upload.

Drag-and-Drop Files Here

Drag and drop files directly from Windows to add them to the list of files to upload.

This option is only available if your browser supports the functionality.

Upload

Select to upload the files to the Supporting Documents field.

 188-expired.pngRequest Expired Files

Select the image to send a request to the owner to repost the files. This occurs when the transfer item has expired.

Related Items

Displays icons for any project items related to the selected item. Click in the column to access the Related Items popup window, shown below. Select the hyperlink for a related item to view its details.

 

Log Page Tools

The following tools are available in the Supplemental Instructions log toolbar. For more information, refer to Log Page Tools.

Export

Select to export the items in this log.

Show/Hide Column Filters

Select  to toggle on/off the column filters.

Show/Hide Group By Panel

Select  to toggle on/off the group by panel.

Show/Hide Columns

Select  to access Drag to Change Columns to add or remove columns from the log grid.

 

To access this page

From the toolbar, select View > Contract Management > Supplemental Instructions.
