Configure Mail Server dialog box

Use this dialog box to configure Project Center to connect to your company's email server as a part of project email addressing. The settings configured here apply to all Project Center Servers. You can configure connections to multiple email servers. The information entered here is used by Project Center users to set their filing options in the Edit Email Filing Options dialog box.

Address

Incoming Mail Server Address

Enter the name of your company's email server.

Mailbox Options

Access Mailboxes Using the Local Exchange Service Account

Choose this option if your company uses Microsoft Exchange as its email server. If you choose this option, you can click OK to create the connection.

Access Mailboxes Using an IMAP Connection

Choose this option if your company uses an IMAP-based email server (such as Lotus Notes, Novell GroupWise, or Google Gmail). If you choose this option, fill in the related fields below.

Incoming IMAP Server

Enter either the IP address or the name of your company's IMAP-based email server that Project Center is connecting to.

Port Number

Enter the port number Project Center will use to connect to your company's email server for IMAP communications. Two common port numbers for IMAP-based email servers are 143 and 993.

Encrypted Connection Type

Select the encrypted connection type Project Center will use to connect to the IMAP-based email server.

    • Choose None if the connection is not encrypted.

    • Choose SSL or TLS if your email server uses one of these connection types.

IMAP Security

Select the IMAP security Project Center uses to connect to your IMAP-based email server.

    • Choose None if the connection is not encrypted.

    • Choose Implicit if the connection is always encrypted. This is most often used when using port number 993.

    • Choose Explicit if the connection is initially not encrypted, but enables encryption as necessary. This is most often used when using an encrypted connection on port number 143.

Illegal Folder Characters

Use this field to specify the characters that Project Center users are not allowed to use in IMAP folder names. The default for this field contains the three most-common folder separator characters used as folder separators in IMAP email servers: a period, a forward slash / and a backslash \. Administrators can edit these defaults and add or remove characters that will not be allowed in folder names.

For example, you could have an IMAP folder called Sent which has a subfolder called 2010. The full path for that folder would be Sent/2010 if the folder separator character on that email server was a forward slash /. When an administrator configures the Email Folder Label field in the Admin tab of the Project Settings dialog box, Project Center will not allow any of these characters in that folder label.

Some email servers host Usenet Groups, which use periods as a separator. Some use a forward slash / and some use a backslash \. Some servers use different characters for different folders. The reason they are illegal in email folder labels is because they would cause a subfolder to be inadvertently created if someone used them in Project Center.

Use Short Names for Mailbox Folders

Mark this checkbox to automatically shorten the names of mailbox folders to support email clients such as Gmail.

Test Connection

Click to test the connection to your IMAP-based email server. A message will appear indicating whether or not the connection was successful.

 

To access this dialog box

 Click Add or Modify from the Mail Servers section of the Global Settings tab of the Project Center Administration Activity Center.
