Configure Project Email Mailbox dialog box

Each Project Center project can have its own email address that you can configure as a part of project email addressing. Email messages sent to a project email address will be filed directly to that project (in addition to the contacts and project team members the messages are sent to). Use this dialog box to link Project Center to the email mailbox on your corporate email server that will collect all email messages sent to each project's email address. The SMTP relay on the Info Exchange Server will relay all email messages sent to the project email addresses to the mailbox defined here. The Project Center Servers will then file the email messages to each project.

An administrator must create this mailbox on the corporate email server specifically for this feature prior to specifying the mailbox in this dialog box. This mailbox should not be used for any other purpose. An administrator will need to maintain the mailbox periodically. You do not need to create a project email address on your corporate email server for each project. Projects do not require an email address.

Mailbox Access

Use this section to link Project Center to the corporate email mailbox.

Mail Server

Select the corporate email server on which you created the mailbox.

Mailbox

Enter the SMTP address of the mailbox that was created. For example, projectemail@newforma.com.

User Name

(For IMAP users only): Enter the user name of the mailbox that was created.

Password

(For IMAP users only): Enter the password for the mailbox that was created.

Project Email Address Format

Use this section to specify project email address prefixes and domain names.

Project Email Address Prefixes

There are two reasons you may want to use email address prefixes. The first is to help control spam. If the Require Each Project Email Address to Have a Prefix checkbox (below) is marked, the email sender must add the prefix entered (by clicking Add  below) to the beginning of the project email address. This can help prevent spammers from guessing email addresses at your company. If the prefix is required and is not present, the email message will be automatically deleted. If the sender uses the prefix, then the message will be processed by Project Center.

If your corporate email server supports sub-addressing (such as a Gmail server), the second reason to use this feature would be to deliver email messages directly to the mailbox created above instead of passing it through the Info Exchange Server's project email SMTP relay. Refer to the Project Center Installation Guide for more information.

Add

Click to open the Add Prefix dialog box to add email prefixes.

Remove

Click to remove the selected prefix.

Require Each Project Email Address to Have a Prefix

Mark this checkbox to require the email sender to add a prefix assigned above to the beginning of the project email address.

If you are using plus (+) addressing at your site, you must mark this checkbox as you will not be using the SMTP relay, and the mailbox name on the email server must be the prefix.

Project Email Address Domains

Use this section to configure the email domain name (the name that follows the @ sign) in the project's email address. There are two different ways of configuring the domain name. The most common method is to first create an MX record that points to the Info Exchange Server on which the SMTP relay is configured. (This is configured in the SMTP Relay tab of the Project Center Administration Activity Center Servers tab.)

If your corporate email server supports sub-addressing, the second method would be to specify the corporate email domain in this field. Refer to the Project Center Installation Guide for more information.

Add

Click to open the Add Domain dialog box to add a new domain name.

Remove

Click to remove the selected domain name.

 

To access this dialog box

 Click Add or Modify from the Project Email Mailboxes section of the Global Settings tab of the Project Center Administration Activity Center.
