Identify Action Item dialog box

Use this dialog box to create a new action item (or a similar action item) in the currently open project.

Subject

Enter a subject for the action item.

Type

Select the action item's type, which is used in numbering.

Status

Select the action item's status from the drop-down list.

Administrators can create and edit action item statuses using the Global Action Item Status List in the Keywords tab of the Project Center Administration Activity Center.

% Complete

Enter how much of the action item is complete.

Assigned

To enter the date the action item was assigned to a contact, mark the checkbox, then select a date.

Due Date

To enter a due date for the action item, mark the checkbox, then select a date. You can also send a daily reminder.

Remind

Mark the checkbox to add this item to the email notification message sent out by Project Center reminding the Assigned to and Assigned by contacts that the action item is still open. Select the number of business days before a response is due, which appears in the email message and in the Open Items tab of the My Project Center activity center.

Reminders can be sent to both internal and external project team members. The frequency at which reminders are sent is set in the General tab of the Project Center Administration activity center Servers tab. Reminders can disabled per project in the Edit Project Settings dialog box.

Remind is not available if the option is disabled for the project or in the Project Center Administration activity center.

Action Completed

To enter the date the action item was completed, mark the checkbox, then select a date.

Action Item ID

This is an automatically incremented number that is editable (as long as it remains unique). You can also enter text in this field.

Priority

Select the action item's priority from the drop-down list.

Disciplines

Click to open the Choose Disciplines dialog box to apply disciplines to the action item.

Assigned To

Click to open the Choose Project Team Members dialog box to select the project team members to assign the action item to (you can also type email addresses directly in this field). Each time the action item is edited, these contacts will be sent a notification.

CC

Click to open the Choose Project Team Members dialog box to select contacts to send an email notification message to regarding this action item. Each time the action item is edited, these contacts will be sent a notification.

Assigned By

Click to open the Choose a Project Team Member dialog box to select the project team member who is assigning the action item. The current user is the default.

Keywords

Click to open the Choose Keywords dialog box to apply keywords to the action item.

Send Change Notification Email

Mark this checkbox to open an email message in Microsoft Outlook to notify the action item's contacts that an action item was created.

Select in Project Center After Creation

This checkbox only appears when filing an action item from Microsoft Outlook.

Mark this checkbox to open the action item in the Action Items activity center after creating it.

 

Click to spell check the fields in this dialog box. If any mistakes are found, the Spelling Check dialog box opens with spelling suggestions.

Create

Click to create and log the action item.

 

To access this dialog box

  • Click Identify an Action Item from the Tasks panel of the Action Items activity center.

  • Select an action item that you want to use as the basis for a new one, then click Add Similar Action Item from the Tasks panel of the Action Items activity center.

  • Select a project item, then click Create Related > Action Item from the Related Items tab of various activity centers throughout Project Center.

  • In Microsoft Outlook, select an Outlook item, click File as from the Project Center Add-in for Microsoft Outlook Toolbar, select a project from the Select a Project dialog box, then select the Action Item option.
